Automatic reminders and Smart Follow-up are on by default. Adjust them for your organization.

Keep adaptive timing

Let Smart Follow-up adjust reminders to request activity and deadlines. Automatic reminders run in the morning in your organization’s time zone.

Set a fixed cadence

Prefer a predictable interval? Turn off Smart Follow-up and choose daily reminders or every 3, 5, 7, or 14 days. Choose whether they repeat.

You can also turn automatic reminders off and send them yourself.

Questions about policy reminders

When does Smart Follow-up send the first reminder?

The first reminder becomes due about 48 hours after sending an unopened request, or about 24 hours after someone views it without completing. Automatic reminders run during a daily morning check in your organization’s time zone, rather than at an exact hour after the event.

How do deadline reminders work?

With Smart Follow-up and request expiry enabled, reminders use milestones in the final week: 7 days, 3 days, 1 day, and the deadline day. Each milestone is sent at most once. These replace the regular viewed/not-viewed reminder timing during that period. A reminder does not extend the deadline.

Can I choose a fixed schedule instead?

Yes. Turn off Smart Follow-up and choose every day, 3 days, 5 days, 7 days, or 14 days. Enable Repeat reminders until completed if you want that cadence to continue. Owners and administrators control these settings under Settings → Document Requests.

Can I send a reminder to several people at once?

Yes. On Requests, choose All outstanding, Not viewed, Viewed, or Reminded from Nudge. Search to narrow the audience, check the recipients and request count, and preview before sending. You can include a note. When possible, multiple reminders for the same person are grouped into one email.

Can I see which reminders have already been sent?

Yes. Each request’s Activity records reminders, including automatic reminders labeled Reminded (Scheduled). Review the history alongside viewing and completion activity before deciding on your next follow-up.

Are reminders the same as recurring renewals?

No. A reminder follows up on an open request using the same signing link and document version. Auto-renew sends a new request when another signature becomes due after a previous completion. Use reminders for unfinished requests and renewals for periodic sign-offs.
