ClearPolicy

From policy to proof in four steps

ClearPolicy gives small businesses, healthcare teams, and other organizations a simple, defensible way to manage policy acknowledgments — without spreadsheets, email threads, or guesswork.

Step 1

Upload your policy

Upload a PDF, import from Google Drive, or write it in ClearPolicy. Your document is versioned automatically — so you always know which revision someone signed.

  • Upload PDFs or Word documents
  • Import directly from Google Drive
  • Every revision tracked automatically

Step 2

Add your people

Import your whole roster from a CSV spreadsheet — staff, volunteers, and board members in one upload. No user accounts needed. Or sync from Planning Center and Zapier.

  • Sync from Planning Center or Zapier
  • Organize people into groups

Step 3

Send for signatures

Send a signature request in seconds. Recipients get a link by email — no account, no app, no friction. They review the document and sign with a typed name.

  • One-click distribution by email
  • Recipients sign in seconds — no account
  • ESIGN and UETA electronic signatures

Step 4

Track compliance

See who's signed, who hasn't, and who needs to re-sign after updates. Smart Follow-up sends adaptive reminder emails on your behalf, and you can nudge anyone manually from the dashboard.

  • See who's signed, pending, or outdated
  • Smart Follow-up — adaptive email reminders
  • Record paper on file — upload a signed paper copy when someone cannot complete online

From spreadsheet to signed policies in 15 minutes

Most organizations already have their people in a spreadsheet, HR export, or volunteer database. Upload that CSV to ClearPolicy, assign your policies, and send your first request — no manual data entry.

  • Export from Excel, Google Sheets, or your HR system
  • Upload once — names, emails, and groups mapped automatically
  • Send signatures the same day you sign up

Have proof when it matters

Every acknowledgment is logged with a timestamp, IP address, and device details. Print or export the audit trail as a PDF — ready the moment someone claims they never saw it.

Signed attestation certificates for every acknowledgment

Frequently asked questions

Do recipients need to create an account to sign?

No. They click a link in their email, review the document, and sign. Nothing to install or log into.

What counts as a valid electronic signature?

A typed name or acknowledgment, together with timestamp, IP address, browser details, and electronic consent, satisfies the core recordkeeping requirements of ESIGN and UETA. ClearPolicy captures all of these with every electronic completion.

What if someone cannot or will not sign online?

Electronic signatures are the default path in ClearPolicy — fast, trackable, and audit-ready. When someone cannot complete a request online (no email, preference, accessibility, or a wet-ink requirement), a team member can record paper on file: upload the signed paper copy on the pending request. That person counts as complete for that document version, and the uploaded file stays with the request so your compliance record stays in one place. Paper on file is not an ESIGN electronic signature and does not produce an attestation certificate. It is a real workflow for keeping a complete record when electronic is not possible.

What if someone ignores the request?

Smart Follow-up sends adaptive reminder emails automatically. You can also nudge someone from the dashboard anytime. You'll see exactly when the request was sent, viewed, and whether it's still pending.

What's captured when someone signs?

Timestamp, IP address, browser/device details, and the exact document revision they signed. All exportable as a PDF.

What happens if someone claims they never received it?

ClearPolicy logs when the request was sent and when the signing page was viewed — before the signature ever happens. That activity is part of the audit trail.

Can I report compliance status to leadership or auditors?

Yes. ClearPolicy includes compliance reports showing acknowledgment status across your organization — filterable by document or group, with print-to-PDF and CSV export.

Are records kept if I cancel my subscription?

Yes. Completed attestation records are retained regardless of subscription status.

How long does it take to get started?

Most organizations send their first request within 15 minutes. No training required.

Can I get help getting started?

Yes. We offer a free onboarding call to help you import your people, set up your first policy, and send your first request. Email [email protected] and we'll get you set up.

Can policies be set to renew automatically?

Yes. Each document has its own recurrence settings — choose an interval and enable auto-send. ClearPolicy handles the requests automatically on that schedule, with every cycle added to the audit trail.
